These Terms & Conditions form the agreement between [East Coast Beats] (“the DJ”, “we”, “us”)
and the person making the booking (“the Client”, “you”).
They are written to be clear, fair, and in line with UK consumer law.
1. Booking & Confirmation
Your event date will be secured once:
• Event details have been agreed
• These Terms & Conditions have been accepted
• The agreed booking deposit fee has been received
Until this point, the date remains available for other enquiries.
The person confirming the booking must be aged 18 or over and authorised to enter into this
agreement.
2. Event Details & Planning
To ensure your event runs smoothly, we will ask for the following information:
Client details
Full name, contact number(s),
email address,
and preferred method of contact.
Venue details
Venue name, address, and any relevant contact details.
We may contact the venue directly to confirm logistics.
Event information
• Event type (e.g. birthday, wedding)
• Event date and timings
• Performance start and finish times
• Key moments (e.g. first dance, cake cutting, food service)
• Guest numbers (approximate)
It is the Client’s responsibility to ensure all details are accurate and kept up to date.
3. Venue, Access & Setup
We will liaise with the venue where needed to confirm:
• Access times
• Setup location
• Sound restrictions (e.g. limiters)
• Finish times
Unless otherwise agreed, we typically require:
• 60–90 minutes for setup
• Safe, level, and dry performance space
• Access to a suitable power supply
• Reasonable access for loading/unloading
If access is delayed or restricted, performance time may be reduced accordingly.
4. Fees & Payment
The total fee will be agreed at the time of booking.
• A booking fee will be required to secure your date
• The remaining balance is due 14 days before the event If payment is not received on time, we reserve the right to treat the booking as cancelled.
All pricing will be clearly agreed in advance
5. Cancellation Policy
We understand plans can change, and our cancellation policy is designed to be fair and
proportionate.
Cancellations must be made in writing by the person who made the booking.
Cancellation charges:
• More than 6 months before the event: deposit fee only
• 1–3 months before: 50% of total fee
• 2–4 weeks before: 75% of total fee
• Less than 14 days before: 100% of total fee
These charges reflect lost business and preparation time and are not intended as a penalty.
Where possible, we will always try to offer flexibility, including transferring your booking to a new
date.
6. Changes to Your Booking
If you need to make changes (such as timings, venue, or performance duration), please let us know
as early as possible.
We will always do our best to accommodate reasonable changes, although these may affect pricing
or availability.
7. Professional Standards & Conduct
We pride ourselves on providing a professional, friendly, and reliable service.
In return, we ask that:
• Guests behave in a respectful and safe manner
• Equipment is not interfered with
• The performance area remains clear and safe
We reserve the right to pause or stop the performance if we believe there is a risk to safety,
equipment, or wellbeing.
In such cases, no refund will be due.
8. Equipment & Technical Reliability
We use professional-grade equipment and take reasonable steps to ensure reliability.
We also carry essential backup items where practical.
In the unlikely event of equipment failure, we will:
• Act quickly to resolve the issue
• Continue the performance where possible using backup solutions
If circumstances prevent us from continuing, our liability is limited to the amount paid.
9. Illness, Emergencies & Unforeseen Circumstances
While every effort is made to attend all bookings, there may be rare situations beyond our control
(such as illness, accident, or emergency).
In these circumstances, we will:
• Make every reasonable effort to provide a suitable replacement DJ
• Provide a full refund if a replacement cannot be arranged
We strongly believe in being honest and realistic — no DJ can guarantee attendance in every
possible circumstance, but we will always act responsibly and professionally.
10. Music Requests & Performance Style
We welcome your music preferences and will work with you to create the right atmosphere for your
event.
• You may provide playlists or “must-play” tracks in advance
• We will read the room and adapt accordingly on the night
While we will do our best to accommodate requests, we cannot guarantee every request will be
played, they are requests after all not demands.
11. Damage & Liability
The Client is responsible for any damage caused to equipment by guests or venue staff.
We accept no responsibility for:
• Venue-related issues
• Power failures
• Restrictions imposed by the venue
Nothing in these
Terms limits liability where it cannot legally be excluded under UK law.
12. Photography & Promotion
We may occasionally take photographs of our setup for promotional purposes.
We will never use close-up images of guests without permission.
If you prefer no photos to be taken, please let us know in advance.
13. Force Majeure
We are not liable for failure to perform where this is caused by events outside our reasonable
control, including:
• Severe weather
• Road closures
• Venue issues
• Power outages
• Government restrictions
In such cases, we will work with you to reach a fair outcome.
14. Agreement
By confirming your booking, you confirm that you have read and accepted these Terms &
Conditions.
This agreement is governed by the laws of England and Wales.
